Workflow Template
Tiling installation quality checklist Workflow
Captures a tiling installation quality inspection, records pass/fail on each check and overall result, notifies the customer, and if the inspection fails routes rectification work to the tiler and re-inspection to the inspector (looping up to twice) before confirming the final passed result.
Picture a tiler finishing a job and an inspector working through a checklist on site—lippage, grout, falls, adhesive coverage—then wondering how to track what happens if something fails. This workflow captures every check on a single inspection record, notifies the customer straight away, and if the result is a fail, automatically sends rectification work to the tiler and a re-inspection task back to the inspector, looping up to twice before locking in a final passed result. That means no one has to chase spreadsheets or remember to follow up—the record's status and timeline show exactly where each job stands.

FAQs
Do I need to set this up for each job, or does it run automatically?
Once your workspace publishes the template, it's ready to use straight away—there's no setup project needed. Each new inspection starts when the request form is submitted, so your inspectors just fill in the checklist and the workflow takes care of statuses, notifications and routing from there.
Can my team change the checklist items to match how we work?
Yes, you can describe the change you want in plain English or edit the steps directly in the workflow editor. Earlier versions of the workflow are kept, so you can always see what changed and when.
Who is actually involved in this process day to day?
Inspectors submit the initial checklist and, if needed, carry out re-inspection tasks. Tilers are assigned rectification tasks when a job fails, with a task the workflow waits for before moving on. Both are workspace members, and tasks are assigned directly to them rather than needing separate sign-off from someone else.
What happens when an inspection fails on the first check?
The record's status is set to Rectification and the tiler is assigned a task due in 2 days to fix the failed items and record what was done, along with photos. That information is saved to the inspection record, then the inspector gets a re-inspection task due the next day.
What if the re-inspection fails again?
The job is routed back to the tiler for further rectification, and this loop between tiler and inspector can repeat up to twice. If it eventually passes, the status is set to Passed and the customer is emailed to confirm the tiling was rectified and passed inspection.
Does the customer need to log in to see updates?
No, customers don't need an account at any point. They're kept informed by email—an acknowledgement with their reference number when the inspection is submitted, and a follow-up confirming a pass, either on the first check or after rectification.
Is this suitable for jobs with photos and measurements, not just yes/no checks?
Yes, the checklist form captures measurements like lippage and fall readings alongside pass/fail checks, plus inspection photos. Rectification and re-inspection tasks also capture photos and notes, all saved to the same inspection record.
How do we track the status of jobs across multiple sites?
Every inspection is a record with a reference number, a status such as Submitted, Rectification or Passed, and a timeline of what's happened. Table views and dashboards let you see records grouped by status, so you can spot which jobs are still in rectification at a glance.
Does this workflow keep records for compliance purposes?
The workflow records the statuses, checklist entries, measurements, photos and notes that staff enter, along with a timeline of each step on the record. Each business should confirm its own compliance and record-keeping obligations, as this workflow is a tool to support that process rather than a guarantee of compliance.
