Workflow Template
Solar PV commissioning checklist Workflow
Captures a solar PV commissioning checklist, routes failed tests to a rectification loop, hands the system over to the customer with a summary email, and follows up with a satisfaction survey.
Every solar installer knows the drill: run the commissioning tests, chase down any faults, then walk the customer through their new system before moving on to the next job. This workflow captures the full commissioning checklist from the request form, automatically routes any failed test into a rectification loop with the installer, and only marks the job as commissioned once every test passes. Once handed over, it emails the customer a summary of their system and warranty periods, then follows up a couple of days later with a short satisfaction survey — all without anyone needing to remember to send it.
Business Outcomes
- Fewer missed or forgotten retest steps thanks to a structured rectification loop
- Faster, more consistent customer handovers with warranty details captured every time
- Reduced manual chasing for feedback, since the survey goes out automatically after handover
- Clearer visibility into where each job sits — Commissioning, Rectification, Commissioned or Handed Over — via the record status
- A documented timeline of test results, fixes and retests on every job record
Workflow Steps
Steps
- 1Create commissioning job recordcreate record
Registers the submitted commissioning checklist as a job record.
- 2Set status to Commissioningupdate record
Marks the record status as Commissioning while the checklist is being processed.
- 3Route on commissioning result
Branches based on whether the overall commissioning result is Pass or Fail.
commissioning_result: "Pass"→Set status to Commissionedcommissioning_result: "Fail"→Set status to RectificationDefault→Set status to Rectification - 4Set status to Rectificationupdate record
Marks the record status as Rectification because a test failed.
- 5Installer: rectify fault and retestcreate task
Assigns the installer a task to fix the fault and record the retest result, due in 2 days.
- 6Save rectification details to recordupdate record
Persists the fault, fix and retest result to the record.
- 7Route on retest result
Branches based on whether the retest passed or failed.
retest_result: "Pass"→Set status to Commissionedretest_result: "Fail"→Loop back to rectificationDefault→Loop back to rectification - 8Loop back to rectificationrestart from step
Restarts the rectification cycle for another fault-fix-retest attempt, up to 2 additional times.
- 9Set status to Commissionedupdate record
Marks the record status as Commissioned once all tests pass.
- 10Installer: customer handovercreate task
Assigns the installer a task to hand the system over to the customer, due in 1 day.
- 11Save handover details to recordupdate record
Persists the handover confirmation and warranty periods to the record.
- 12Set status to Handed Overupdate record
Marks the record status as Handed Over once the customer handover is complete.
- 13Email customer handover summarysend email
Sends the customer a summary of the system, shutdown procedure, monitoring and warranty periods.
- 14Wait 2 days before feedback request
Pauses for two days after handover before requesting customer feedback.

FAQs
Do I need to change anything for jobs that pass first time?
No. If the Commissioning Result on the request form is Pass, the workflow skips straight past the rectification steps and moves the record to Commissioned, then on to the handover task. The rectification loop only triggers when a Fail result is submitted.
Can my team customise the rectification loop or how many retest attempts are allowed?
Yes. You can describe the change you want in plain English, or open the workflow editor and adjust the steps directly — for example changing the number of retest attempts or the due date on the installer's task. Earlier versions of the workflow are kept, so you can review what changed.
What happens if a test fails again on the second retest?
The workflow routes back into the rectification loop, giving the installer up to two additional fault-fix-retest cycles. Each attempt records the Fault Description, Fix Applied and Retest Result on the record, so there's a clear history of what was tried.
Who is responsible for the tasks in this workflow?
The installer is assigned the rectify-and-retest task and the customer handover task, both of which the workflow waits for before moving the record forward. Tasks are assigned to team members within the workspace, and each has a due date — 2 days for rectification, 1 day for handover.
Does the customer need to log in to anything?
No. The customer takes part entirely through emailed forms — first the commissioning summary email, then the feedback form sent two days after handover. They never need to create an account to receive or respond to these.
Is this suitable for installers who only do a handful of commissioning jobs a month?
Yes. The template is ready to use as soon as your workspace publishes it, so there's no setup project involved — you can run your first commissioning job through it straight away. It works the same whether you're commissioning one system a week or several a day.
What gets recorded if the installer skips a detail during handover?
The handover task waits for the installer to enter details like shutdown procedure confirmation, monitoring app setup, and the three warranty periods before the workflow continues. Because the workflow waits for this task, everything entered is saved directly to the record's timeline.
Can we send the handover and feedback emails through our own email account?
Yes, a workspace can optionally connect its own AWS SES account to send emails like the handover summary and feedback request. This is an account-level setting and doesn't change the steps in this workflow.
How do we track where a job is up to?
Each commissioning job is a record with a reference number, a status (such as Commissioning, Rectification, Commissioned or Handed Over) and a timeline showing every step that's happened. Table views and dashboards let you see all your jobs grouped by status at a glance.
