EV Charger Installation and Testing Workflow
Manages an EV charger installation job from booking through optional switchboard upgrade, installation and testing, rectification if needed, commissioning, handover, and post-completion customer feedback.
Without a structured process, EV charger installers juggle test results scribbled on paper, forgotten switchboard upgrades, and customers left wondering when the job is done. This workflow moves every job from booking through switchboard upgrade, installation testing, rectification if needed, commissioning and handover, with each status change and work record captured on the job automatically. Teams get a clear, timestamped record of every install and the electrician's exact test results, without chasing paperwork after the fact.
Business Outcomes
- Fewer missed or forgotten switchboard upgrade steps before installation
- Faster turnaround from failed test to rectified, passed retest
- Clearer visibility into job status across booking, installation and commissioning
- More consistent capture of test results, photos and serial numbers per job
- Improved customer communication with automatic booking and handover emails

FAQs
What happens if the switchboard upgrade isn't needed for a job?
The workflow checks the Switchboard Upgrade Needed? field from the request form and routes the job straight to installation and testing if the answer is No. The switchboard upgrade status and task are skipped entirely, so the electrician moves directly to installing and testing the charger. This keeps simpler jobs moving without unnecessary steps.
What happens if the installation test fails?
If the Test Result is recorded as Fail, the job status is set to Rectification and the electrician is assigned a task, due in 2 days, to fix the fault and record the fault description, fix description and retest result. If the retest passes, the job proceeds to commissioning; if it fails again, the workflow loops back to another rectification attempt, up to two times.
Can this handle a job that fails rectification more than twice?
The workflow is set up to loop the rectification task up to two additional times after the first failed retest. Each attempt records a new Fault Description, Fix Description and Retest Result on the job. Workspaces that need a different number of attempts can adjust this by editing the workflow's routing steps in the workflow editor or by describing the change in plain English.
Who is responsible for each task in this workflow?
The electrician assigned to the job handles the switchboard upgrade, installation and testing, rectification (if needed), and customer handover tasks. Each task is assigned to a workspace member and the workflow waits for it to be completed before moving to the next step. Admins and members can see the job's current status and timeline throughout.
How does the customer stay informed during the job?
The customer receives an emailed booking confirmation once the job is created, and a handover summary email after completion covering charger details, serial number, rating and warranty period. Two days after completion, they're sent a feedback form asking for a satisfaction rating and comments. Customers never need an account to receive or respond to these communications.
What information gets saved on the job record versus staying with a task?
Any field entered on a task the workflow waits for, such as test results, work notes, photos, and handover confirmation, is saved directly on the job record and visible in its timeline. This applies to every electrician task in this workflow, since the workflow waits for each one before proceeding. That means switchboard upgrade notes, installation test data, rectification details and handover confirmation are all part of the permanent job record.
Can we customise the fields collected on the request form or tasks?
Yes, the request form fields and the details recorded on each electrician task can be adjusted by describing the change in plain English or editing the steps directly in the workflow editor. Earlier versions of the workflow are kept, so changes can be reviewed or reverted if needed. This makes it straightforward to add fields like additional charger specifications or site notes.
What if a job needs to skip straight to commissioning without a full test record?
The workflow is built so that Set Status: Commissioned only happens after Installation and Test Details are saved and the test result routes as a Pass, or after a successful rectification retest. To change this behaviour, a workspace would need to edit the workflow's steps directly. This keeps the commissioning stage tied to a recorded, passing test result by default.
How is job progress tracked across multiple installations?
Each installation is its own record with a reference number, current status (such as Booked, Switchboard Upgrade, Rectification, Commissioned or Completed) and a full timeline of what happened. Table views and dashboards display jobs by status, making it easier to see which installs are in progress, awaiting rectification, or completed. Workspace activity across all jobs is also logged.
What happens to the customer feedback after it's submitted?
The feedback form asks for an overall satisfaction rating and any comments or suggestions, and responses are saved to the corresponding job record. This gives the team a record of customer sentiment tied to each specific installation. Workspaces should confirm their own requirements around retaining or reporting on this feedback data.
