Cladding installation pre-start checklist Workflow
Captures a cladding installer's pre-start checklist, determines whether it is safe to start work, and if not, routes issues to the supervisor for corrective action and re-check (up to 2 times) before clearing or stopping the job.
Cladding crews often start work before fire performance documents, scaffold, dust controls or weather conditions have actually been confirmed on site, creating safety and compliance exposure. This workflow captures the installer's pre-start checklist, automatically clears the job or stops work based on the reported result, and routes any issues to a supervisor for corrective action and a re-check before work resumes. Installers submit through a public request form, and supervisors work through assigned tasks with up to two rounds of review before the job is cleared or work stays stopped.

- Speeds up the path from issue found to corrective action taken
- Gives supervisors a clear, recorded trail of issues and fixes for each job
- Cuts down on paper checklists and manual follow-up calls
- Makes it easier to see the status of every pre-start check across sites

FAQs
How do I set up this checklist for our crews?
Publish the template as-is and share the request form link with your installers, or edit the workflow editor to adjust the fields first. The form already covers cladding type, building height, fire performance documentation, scaffold, dust controls and weather, so most teams can start using it within minutes. No installation or IT project is needed.
Do installers need an account to submit the checklist?
No. Installers complete the public request form or a form emailed to them, and they never need to log in or hold an account. This keeps the process simple for crews who are on site and moving between jobs.
What happens if the installer marks the job 'not safe to start'?
The record status changes to Work Stopped, and the installer is emailed to confirm work must not start. A task is then assigned to the supervisor to record the issues found, the corrective actions taken, and whether the site is now safe to start.
What does the supervisor actually do in this process?
The supervisor gets an assigned task to review the reported issues, log the corrective actions taken, and decide if it's now safe to start. The workflow waits for this task to be completed, and the supervisor's answers are saved to the record.
What happens if the supervisor still finds it's not safe?
The workflow returns the job to the supervisor for a further review, and this can happen up to two times. If the site is confirmed safe within those reviews, the job is cleared; if not, the job's status and the corrective actions taken remain on the record for follow-up.
How does the job get cleared to start?
A job is cleared either when the installer marks the original checklist as safe to start, or when the supervisor's corrective action review confirms it's now safe. In both cases the status changes to Cleared, and for the supervisor route the installer is emailed with the corrective actions that were taken.
Can we customise the checklist questions or add more steps?
Yes. You can describe the change you want in plain English, or edit the steps directly in the workflow editor, and earlier versions of the workflow are kept. This makes it straightforward to add extra checklist items or change how issues are routed as your site requirements change.
How do we track progress across multiple sites and jobs?
Each submission becomes a record with a reference number, a status such as Submitted, Cleared or Work Stopped, and a timeline of what happened. Table views and dashboards let you see records grouped by status, so you can spot stopped jobs or ones awaiting supervisor review at a glance.
Can photos and hazard notes be captured as part of the checklist?
Yes, the request form includes fields for photos and for hazards found and controls in place, and these are saved to the record when submitted. This gives you a documented record of site conditions at the time the checklist was completed, alongside the supervisor's later review if one was needed.
Does this workflow make us compliant with site safety regulations?
The workflow records the checklist result, any issues found, the supervisor's corrective actions, and the final status on each record's timeline, which supports your own safety process. It does not itself determine legal compliance, so each business should confirm its own regulatory obligations.
