How does the request form get to the inspector?
The inspection details are captured through the public request form, which can be filled in directly or shared with inspectors as a link. Once submitted, it creates a record with a reference number and moves straight into Report Review status.
What happens if the restoration manager asks for changes?
If the review decision is 'Changes needed', the record status is set to Revising and the inspector gets a task to update the defects found and recommended work along with the manager's comments. Once the inspector submits their updates, the record automatically goes back to the restoration manager for another review.
Who reviews the inspection report before it goes to the customer?
The restoration manager reviews the report and records an approval decision plus comments, and the workflow waits for this task to complete before moving forward. Only once the decision is 'Approved' does the status change to Report Sent and the customer email go out.
Does the customer need to log in to see their report?
No. The customer receives the approved inspection findings and recommended work by email once the report is sent, and they never need to create an account or log in anywhere.
What triggers the drying and restoration quote step?
After the report is sent, the workflow checks the 'Is Drying and Restoration Work Recommended?' field. If it's 'Yes', the status changes to Quote to Follow and the estimator gets a task to prepare a quote; if 'No', the record status is set to Closed.
Does the estimator's quote task hold up the record?
No. The workflow does not wait for the estimator to finish the quote task, so the record moves on without delay. Any quote preparation notes the estimator enters stay attached to that task in the record's task list.
Can I change the fields on the request form or add extra steps?
Yes. You can describe the change you want in plain English, or edit the steps directly in the workflow editor. Earlier versions of the workflow are kept, so you can see what changed and when.
How do I track where each inspection is at?
Every record carries a status such as Report Review, Revising, Report Sent, Quote to Follow or Closed, visible in table views and dashboards. The record's timeline also logs each step and decision as it happens.
Is insurance claim information handled specially?
