The record status is set to Revising and the inspector gets a task to update Defects Found and Recommended Work based on the reviewer's comments, due in 1 day. Once the inspector submits those updates, the workflow automatically returns the report to the senior technician for re-review. This loop can repeat as many times as needed until the report is approved.
Can this handle multiple rounds of revisions on the same report?
Yes, the workflow is designed to loop between inspector revision and senior technician review as many times as required. Each round saves the reviewer's decision and comments and the inspector's updated details to the record, so the full history of changes is kept in the record's timeline.
What if the senior technician doesn't respond within 2 days?
The review task is due in 2 days, and it stays open and assigned to the senior technician until it's completed, since the workflow waits for this task before moving forward. Workspace admins can see the report sitting in Report Review status on table views and dashboards, and can follow up with the assigned technician directly.
What happens when treatment is recommended versus not recommended?
If Is Termite Treatment Recommended? is Yes, the record status changes to Quote to Follow and the estimator gets a task to prepare a treatment quote within 3 days. If the answer is No, the record status is simply set to Closed, since no further action is required.
Does the customer need an account to receive the report?
No, the customer never needs an account. The finalised report, including termite activity, areas inspected, conducive conditions and the treatment recommendation, is sent directly to the Customer Email address captured on the inspection request form.
What information does the estimator see when preparing a treatment quote?
The estimator's task includes Quote Preparation Notes, which stays with that task and is shown in the record's task list. Because the workflow doesn't wait for this task to complete, the report record itself moves forward to Quote to Follow status without holding up other parts of the process.
Can we customise the fields on the inspection request form?
Yes, the form fields, including things like Moisture Readings, Conditions That Attract Termites and Photos, can be adjusted by editing the workflow in the workflow editor or by describing the change in plain English. Earlier versions of the workflow are kept, so changes can be reviewed or rolled back if needed.
Who is assigned tasks throughout this workflow?
The senior technician reviews the report, the inspector handles any revision requests, and the estimator prepares the treatment quote when treatment is recommended. Each task is assigned to a team member within the workspace, and task status and comments are tracked on the record's timeline.
