How do I set up this workflow for my team?
Publish the template to your workspace and it's ready to run straight away, no installation needed. You'll want to add your inspectors and renderers as workspace members so tasks like rectification and re-inspection can be assigned to them.
What information does the request form collect?
The form captures inspector and builder/client contact details, site address, job reference, and the full render quality checklist covering coat thickness, flatness, control joints, texture, cracking and cleanup. It also collects flatness measurements, photos, and the overall Pass/Fail result.
What happens when an inspection passes on the first attempt?
The record status updates to Passed and the builder or client is emailed straight away to confirm the render passed. No rectification tasks are created in this path.
What happens when an inspection fails?
The status changes to Rectification and a renderer is assigned a task, due in 2 days, to fix the failed checks and log the work done with photos. Once that's submitted, an inspector is assigned a re-inspection task due in 1 day to record the new result.
How does the rectification and re-inspection loop work?
If the re-inspection passes, the status updates to Passed and the builder/client gets a confirmation email that the render was rectified and passed. If it fails, the workflow loops back to another rectification and re-inspection cycle, up to two cycles in total.
Can I change the checklist questions or task deadlines?
Yes. You can describe the change you want in plain English, or edit the steps directly in the workflow editor. Earlier versions of the workflow are kept, so you can review what changed.
Do inspectors and clients need an account to take part?
No. Inspectors submit through the public request form, and builders/clients receive emailed forms and notifications without ever needing to log in or set up an account.
Who can see the status of an inspection?
Each inspection is a record with a reference number, a status and a timeline of everything that's happened on it. Workspace admins and members can view records in table views and dashboards organised by status.
Where do rectification and re-inspection details get saved?
Because the workflow waits for both the rectification task and the re-inspection task, the details entered on them — including work done, photos, results and notes — are saved directly to the inspection record.
Can we send notifications through our own email or SMS setup?
Yes. A workspace can optionally send emails through its own AWS SES account or SMS through AWS SNS or Twilio, so acknowledgements and client notifications go out under your own sending setup.
