Metal roof installation quality checklist Workflow
Captures a metal roof installation quality inspection, notifies the builder/client of the outcome, and manages a rectification and re-inspection loop when checks fail, until the roof passes.
Construction and roofing businesses need a consistent, auditable way to record metal roof installation quality checks across multiple sites, inspectors and builder or client contacts. This workflow captures the inspection checklist as a record, routes the result to either immediate client notification or a rectification and re-inspection loop, and keeps repeating that loop until the roof passes. Inspectors, roofers, builders and clients are each involved at defined points, with every status change and submitted detail kept on the record's timeline.
Business Outcomes
- More consistent capture of metal roof quality checklist data across sites and inspectors
- Faster notification to builders and clients once an inspection outcome is recorded
- Clearer visibility of rectification work and re-inspection outcomes on a single record
- Reduced manual chasing through automatic routing of failed checks back to the roofer
- Easier oversight of inspection status across a portfolio of jobs via table views and dashboards

FAQs
What does this workflow record for each roof inspection?
Each submitted inspection becomes a record with a reference number, a status such as Submitted, Rectification or Passed, and a timeline of what happened. The original checklist answers, inspection photos, rectification work done and photos, and re-inspection results and notes are all saved to that record because the workflow waits for each of those tasks. This gives a single point of reference for what was checked, what failed, what was fixed, and what was re-inspected.
Who is involved in the inspection and rectification process?
The inspector submits the initial checklist and is later assigned the re-inspection task if a rectification cycle is triggered. The roofer is assigned the task of fixing failed checks and recording the work done. Builders and clients are not assigned tasks but receive email notifications when the roof passes, either on the first inspection or after rectification.
What happens when the overall inspection result is a Pass?
When the Overall Result is Pass, the workflow sets the status to Passed and sends the builder or client an email confirming the roof installation passed the quality inspection. No rectification tasks are created in this path, so the process completes once that notification is sent.
What happens when the overall inspection result is a Fail?
A Fail result sets the status to Rectification and assigns the roofer a task, due within 2 days, to fix the failed checks and record the work done along with photos. Once that task is completed, the inspector is assigned a re-inspection task due in 1 day to check the rectified work and record a new result.
How does the re-inspection and rectification loop work?
After the roofer's rectification task and the inspector's re-inspection task are both completed, the workflow routes on the new Re-inspection Result. If it is Pass, the status is set to Passed and the builder or client is emailed that the roof was rectified and passed. If it is Fail, the workflow sends the record back to the roofer and restarts the rectification cycle, repeating until a Pass is recorded.
How do we change or customise this workflow?
A workflow can be adjusted by describing the desired change in plain English or by editing individual steps directly in the workflow editor. Earlier versions of the workflow are kept, so a workspace can review or refer back to previous configurations as changes are made over time.
Do builders or clients need an account to receive updates?
No account is required. Builders and clients take part through the emailed notifications sent at Pass and Rectified-and-Passed stages, and the request form itself is public, so anyone submitting or receiving updates on an inspection does so without needing to log in.
How is inspection progress tracked across multiple sites or jobs?
Every inspection is a record with its own reference number and status, and table views and dashboards display these records grouped by status such as Submitted, Rectification or Passed. This allows a workspace to see at a glance how many roofs are pending rectification versus how many have passed, supporting oversight across a larger volume of jobs.
What information does the roofer need to provide during rectification?
The roofer's task asks for a description of the rectification work done along with supporting photos, and because the workflow waits for this task, both pieces of information are saved directly onto the inspection record. This keeps the record of remedial work alongside the original checklist and any subsequent re-inspection outcome.
What should businesses consider about compliance or record-keeping for these inspections?
The workflow records statuses, the checklist values entered by the inspector, rectification details from the roofer, re-inspection results, and a timeline of these events on each record. Each business should review its own regulatory, warranty or industry documentation obligations to confirm what additional records or retention practices it needs to maintain.
