Workflow Template
Brick Wall and Masonry Measure Workflow
Captures a site measure for a bricklaying job, calculates net wall area, bricks needed and quote amount, routes through estimating manager review (with revision loop back to the estimator), sends the customer a quote for accept/decline, and on acceptance tasks the office to order bricks and book the job.
This workflow is designed for bricklaying and masonry businesses that need a consistent way to turn a site measure into a priced quote. It automates the calculation of net wall area, brick quantities and quote amount from the estimator's inputs, routes the figures through an estimating manager review with a revision loop back to the estimator when changes are needed, and emails the customer a quote they can accept or decline without needing an account. On acceptance, it tasks the office to order bricks and book the job, giving the business a single record that tracks the measure from submission through to job booking.
Business Outcomes
- Reduces manual calculation work by automatically deriving net wall area, bricks needed and quote amount from site measure inputs
- Speeds up quote turnaround by routing manager review and revisions through a structured, trackable process
- Cuts back-and-forth on pricing errors by capturing manager decisions and comments directly on the record before a quote is sent
- Improves customer experience by letting customers accept or decline quotes online without needing an account
- Reduces handoff delays by automatically tasking the office to order bricks and book the job once a quote is accepted

FAQs
Why should we automate our brick wall site measure and quoting process instead of handling it manually?
Manually calculating net wall area, brick counts and quote amounts across spreadsheets or paper forms is prone to inconsistency and delay, especially when revisions are needed. This workflow captures the site measure once, calculates the figures automatically, and routes them through a manager review with a built-in revision loop, so the estimating team spends less time on rework and the business has a single record showing the status of every quote.
What happens when the estimating manager finds an issue with the measurements or pricing?
The manager records their decision and comments on a task the workflow waits for. If the decision is 'Changes needed', the record status is set to Revising and the estimator is tasked with updating the measurements, rate and extras cost based on the manager's comments. The workflow then restarts the calculation with the revised figures, and this revision loop can run up to two times before proceeding.
How does the customer respond to a quote, and do they need to create an account?
Once a quote is calculated and approved internally, the workflow sets the status to Quote Sent and emails the customer the quote details along with a form to accept or decline. The customer completes this form without needing an account, and their response and any comments are saved to the record, which then routes to either the Quote Accepted or Quote Declined path.
What happens if the customer declines the quote?
If the customer selects Decline on the emailed form, the record status is set to Quote Declined and the workflow automatically sends the customer a thank-you email. The decline response and any comments the customer provided are saved on the record's timeline for future reference.
What happens after the customer accepts the quote?
When the customer accepts, the record status is set to Quote Accepted and the office is tasked with ordering the bricks and booking the job. This task does not hold up the workflow, so the record moves forward while the office records the Order Reference and Job Booking Date on the task.
Can we customise the fields captured on the site measure request form?
Yes, the request form fields, such as Wall Type, Bricks per Square Metre or Footing Condition, can be adjusted by describing the change in plain English or editing the steps directly in the workflow editor. Earlier versions of the workflow are kept, so changes can be made with confidence that prior configurations remain available.
Who is involved in this workflow, and what do they see?
The estimator submits the initial site measure and, if changes are needed, updates the measurements, rate and extras cost. The estimating manager reviews the calculated figures and pricing, recording a decision and comments, while office staff are tasked with ordering bricks and booking the job once a quote is accepted. Each task is assigned to a workspace team member, and progress is visible in the record's timeline and status.
How quickly can a workspace start using this template?
The template is ready to use as soon as a workspace publishes it, with no installation or development project required. The workspace can begin capturing site measures and generating quotes straight away, and adjust the workflow over time as pricing or review steps evolve.
What does the record show if we need to check what happened on a specific quote?
Every site measure is a record with a reference number, a status such as Measured, Revising, Quote Sent, Quote Accepted or Quote Declined, and a timeline showing what happened at each step. Businesses should confirm their own record-keeping obligations, but the workflow retains the manager's decisions, revised figures, and the customer's accept or decline response for reference.
