Subfloor moisture / condition assessment Workflow
Captures a subfloor inspection report, routes it through flooring manager review (with a revision loop back to the inspector), emails the approved report to the customer, and triggers a subfloor preparation quote task when recommended.
When a subfloor inspection report gets emailed around for manager sign-off, comments get buried, revisions go missing, and nobody can say which version the customer actually received. This workflow captures the inspection on a record with a reference number and status, routes it to the flooring manager for review, and loops it back to the inspector automatically when changes are needed. Once approved, the report is emailed straight to the customer and, if preparation work is recommended, a quote task is created for the estimator without holding up the record.

What happens if the flooring manager requests changes to the report?
The record status is set to Revising and the inspector is assigned a task due in 1 day to update the defects found and recommended work based on the manager's comments. Once the inspector submits those updates, the workflow automatically returns to the manager review step so the revised report gets checked again. This loop can repeat as many times as needed until the manager approves the report.
Can this handle a report that goes through multiple rounds of revision?
Yes. Every time the manager requests changes, the record moves back to the inspector update task and then returns to manager review, so there's no limit on how many revision cycles a report goes through. The record's timeline keeps a history of what happened at each stage, so you can see how many rounds occurred.
What if subfloor preparation isn't recommended for a job?
If Subfloor Preparation Recommended is set to No, the workflow sets the record status to Closed and no quote task is created. This keeps straightforward jobs moving through without unnecessary steps for the estimator.
Who is responsible for each step in this workflow?
The flooring manager reviews the inspection report and records a Decision and Comments, the inspector updates defects and recommended work if changes are requested, and the estimator prepares a subfloor preparation quote when recommended. Managers and inspectors have tasks the workflow waits for, while the estimator's task runs without holding up the record.
Does the customer need to log in to receive their report?
No account is required. The customer submits the original inspection details through a public request form, and once the report is approved, they receive the readiness assessment, moisture readings, flatness deviation and preparation needed by email.
What if the manager's decision is missing or unclear?
The workflow routes on the Manager Decision field, checking for Approved, Changes needed, or otherwise. Any value outside of Approved or Changes needed falls into the otherwise path, so it's worth confirming the manager task always records a clear decision before the workflow can proceed.
Can we change what information is captured on the inspection form?
Yes. The request form fields, such as moisture readings, subfloor type, or contaminants, can be edited directly in the workflow editor, or you can describe the change you want in plain English. Earlier versions of the workflow are kept, so you can review what changed.
What happens to the estimator's quote notes if the workflow doesn't wait for that task?
Since the Prepare Quote task isn't one the workflow waits for, the Quote Preparation Notes the estimator enters stay with that task and show up in the record's task list rather than being saved directly to the record. The record itself still shows the Quote to Follow status so anyone reviewing the record can see a quote is in progress.
How do we track where a specific inspection record stands?
Each submitted assessment becomes a record with its own reference number, current status (such as Report Review, Revising, Report Sent, Quote to Follow, or Closed), and a timeline showing what happened at each step. Table views and dashboards let you see records grouped by status across the workspace.
Does approving and sending the report create any compliance record for our business?
