How to Add a Text Input Area to a Workflow

Introduction

Text Input Areas are a popular component for workflows and allow the input of multiple paragraphs of text. Text can be entered as rich text with formatting or as plain text.

Example Usage

You could add Text Input Areas to your workflow to:

  • Record multiple paragraphs of text when completing an assessment.
  • Upload images related to the assessment.
  • Add general comments to an assessment as it progresses through the workflow.

Steps

  1. Open an existing workflow or create a new new workflow.
  2. Click on the "Text Input Area" on the component toolbar to add the text input area to the workflow canvas.
  3. Configure the settings of the button in the "Free Text Input Setting" pane on the right hand side of the flow builder.
  4. Drag the text input area to the desired location on the stage canvas.
  5. Use the grab handles to change the width and height of the text input area.

Settings

The following general settings can be configured for buttons:

  • Label: Add a text label to display text above the text area input field. Delete this text if you do not want a label to be displayed.
  • Placeholder: Placeholder text is text that will be displayed in the component and is generally used to guide people on what to do when working with the field. Delete the placeholder text if you do not want to display the placeholder text.
  • Options: There are two options for the text input area field - Rich Text and Text Only. "Rich Text" enables the formatting of text in addition to uploading of images. "Text only" only allows the input of unformatted text without the ability to upload images. If you would like people to add unformatted text and upload images, consider adding the "File Upload" component to the canvas to allow people to upload images.
  • Viewers: By default, anyone will be able to view the text input area field. If you would like to restrict who can view the field when completing assessments, select the role or individual people from the "Viewers" drop-down field.
  • Editors: By default, anyone will be able to add text and input to the text input area field. If you would like to restrict who can add text and input into the field when completing assessments, select the role or individual people from the "Editors" drop-down field.
  • Inactive: When clicking the "Inactive" checkbox, the text input area will be displayed in an inactive state and the field will not accept any input.
  • Required: Select the "Required" checkbox if input is required in the text input area field when completing assessments. Validation will occur when someone clicks on a button where the button's "Check required" setting is selected.
  • Required text: If the "Required" checkbox is selected a message will appear below the field advising that the field requires input on button click. Change the "Required text" to display your own custom validation message.
  • Conditional display: Display the text input area only when certain conditions are met with other fields. For example, if I add a radio button field to the canvas and someone selects "Yes" then the text input area field will be displayed.
